Part of our guide to pub marketing ideas
Pub private hire enquiries that are easier to qualify

"We need somewhere for a celebration" is the beginning of an enquiry, not enough information to prepare a useful proposal.
Pub private hire marketing should help customers describe the event and decide whether your space is suitable. That saves avoidable exchanges for the organiser and your team.
Existing visitors are a sensible place to start. They may know the pub well without knowing which areas can be hired.
Describe the room as it will be used
Show current photographs and explain the layouts you can offer. State capacities for the relevant arrangement rather than presenting one number without context.
A room suitable for a standing reception may accommodate fewer people around dining tables. Confirm the figures with the person responsible for the venue.
Explain what is exclusive to the booking and what remains shared. Include access arrangements and any limitations that materially affect the event.
If a package has a minimum spend or hire charge, make the basis clear. Customers should understand whether they are looking at a starting price or a complete package.
Ask for enough information to respond properly
A first enquiry can request the date, approximate guest count and type of occasion. Ask for a contact route and any essential requirements.
Avoid demanding the complete running order before the customer knows the room is available. Further planning belongs later in the conversation.
Explain whether submitting the form holds the date. Give a response timeframe your team can meet and identify who checks the inbox during absences.
Test the form on a phone. Confirmation should tell the organiser that the enquiry arrived and what happens next.
Make private hire visible during normal service
A link from your pub guest Wi-Fi welcome page can introduce the room to people already familiar with the venue.
Use a label such as "Private parties and room hire". Link to the information page before the enquiry form if customers need to assess suitability first.
A general thank-you email can include that route for opted-in guests, but avoid turning every message into a list of unrelated services. Choose the placement that fits your priorities.
Review the guest-page and follow-up options when deciding where to introduce private hire.

Measure qualified enquiries
Record enquiries, suitable opportunities and confirmed bookings separately. Many unsuitable requests may indicate unclear room information, not insufficient promotion.
Note the reasons bookings do not proceed. Date availability and room size require different responses from slow replies or confusing pricing.
For a guest Wi-Fi setup that includes a separate function room, ask Margovy about the venue layout.
