Part of our guide to café marketing ideas
Promoting café community events with clear boundaries

A reading group or craft session can give customers a regular reason to visit. It also changes how part of the café is used.
Before promoting café community events, agree the practical arrangements with the organiser. Customers need to know who runs the session, whether they can join and what they are expected to book or buy.
Establish responsibility before publishing
Decide who manages attendance and answers questions. If the group is independently organised, say so rather than implying the café runs the activity.
Agree the start and finish times, expected use of tables and any relevant charges. Explain whether refreshments are included or purchased separately.
Clarify whether the session is open to newcomers. A photograph of a gathering may make an established private group look like a public event.
Use a named contact route for event enquiries. Staff should know where to send questions about the activity itself.
Create one reliable event description
Give each recurring session a maintained information page or listing. Include the next confirmed date and booking instructions.
Describe what participants should bring and whether experience is needed, where relevant. Use the organiser's checked information rather than inventing requirements.
Check that the booking destination confirms what a reservation means. If places are limited, avoid an invitation that implies anyone can arrive.
For customers who are not attending, keep any effect on normal service clear. They may need to know that part of the room will be reserved.
Introduce the programme through guest Wi-Fi
A visitor using Margovy's café guest Wi-Fi can find your events through a link on the welcome page.
Link to the programme if several sessions run. Link directly to the event when a particular session is the focus.
For opted-in customers, an automated email can point to the current programme. Keep individual dates out of ongoing messages unless someone is responsible for maintaining them.
The scheduled content and follow-up features help you place those links at useful moments.

Review the effect on the café
Count attendance using the organiser's agreed process, not Wi-Fi connections. Some participants will never connect.
Ask the café team whether the session fitted the available space and service. Ask the organiser whether newcomers understood how to join.
A popular event may need a different table arrangement or booking process before you promote it more widely. Make those changes jointly.
For advice on guest Wi-Fi across a main room and event area, discuss your venue with Margovy.
